Biometric Time Clocks

No comments

There are different types of Biometric Time Clock, today we will see the basic Biometric Time Clocks. Biometric Time Clocks is different from normal online timesheets.

Biometric Time Clocks measure a unique physical, biological trait of the employee, for example fingerprints or the geometry of the hands in order to prevent buddy punching. In the case of access control, this also helps prevent unauthorized access to the facility or specific areas of the facility. The system records each punch for the employees, which it then transfers to 1 or more computers accessible by management and/or HR which provides management with the ability to see real-time data, including reports such as Who’s in & Approaching Overtime as well as wages earned for the current or prior period. Instead of payroll spending time entering data and possibly making keypunch mistakes, a time and attendance system frees the payroll function up to spend more time reviewing data and exception reports, or performing other value added functions.

Our own evolution with online timesheet management went like this:

1. Painful paper timesheets, entered into Spreadsheet form

When we decided that spending weekends data entering and not having a real time view of our projects just didn’t make sense any more, we evolved to:

2. Try third party software

Desktop software, web based software, lots of trial and error.  We found some interesting and cool products in this space, but they either didn’t fit our process or felt like they were built for companies with 5,000+ employees.  Then we moved on:

3. Internal Development

Since we solve other companies web related problems for a living, we decided to solve our own.  We didn’t want one process for managing projects and tasks and a separate process for timesheet collection and approval.  Folks don’t like to fill out timesheets and tracking time is difficult.  We all know that.  With trial and error we decided that directly tracking time at the task level catches a lot of missed time.  This also combines tasks and time into one process.  We found that making weekly timesheet submissions and approvals part of our process did a few things for us:

People started tracking time daily because it’s too tough to throw it all on a timesheet at the end of the week.
The system generated “nags” to submit time quickly went from annoyance to friend.  “Oh good, I need to submit my time”…instead of “Wow, what did I do last week?”.
Since time is entered with tasks, less ‘holes’ exist on timesheets.

History of Web Time Clock

Once, We reached a ponit a few years ago where our frustrations with paper timesheets and excel spreadsheets were becoming unbearable, and the web was maturing into a medium that could handle more advanced web-based applications. The advent of the lightweight framework gave us an opportunity as a web development agency to escape the linear clutches of traditional development. That is when we developed a web-based time tracking service, which we dubbed Intervals. For those still tracking their time using paper timesheets or Excel spreadsheets, I highly recommend abandoning those methods in favor of using a web based punch clock.

* Our billable time increased by 30% after adapting web-based time tracking into our day-to-day workflow. That is a lot of time that just wasn’t getting tracked before.
* Track your time at any time from anywhere, using multiple web-based timers.
* Keep track of multiple projects at once, making it easier to switch between them without losing time.
* Ten times easier to generate detailed reports and send client invoices.
* Accessible with Windows, Mac, or Linux.
* Data is tracked in real-time; no more weekly data entry.

Ways to Stop Wasting Time Online

No comments

The Internet is a great boon to small business productivity efforts, but it is also a distraction. The Internet leaks as much of our time, if not more, than television. This distraction negatively affects small businesses who track their time and charge by the hour, meaning they lose money to procrastination and decrease their free time. Here are some ways to stop wasting time online

Inspired the Invisibility Cloak, Time To Go acts more as a gentle tap on the shoulder, rather than a backhanded, pimp-slap to the face that reminds you to get back to work. It allows you to visit an addictive site for, say, one minute only. Once the time is up, the screen turns blank, and you get back to work.

Even more effective is our Labor Time Tracker and its online timesheet is the best option. What you think about it?

With our “task tracker” (the proving grounds for Intervals) we learned a lot about time tracking software. We learned that:

* If you make it difficult to track time…people won’t track time

* If you track time in “general” ways…you don’t learn too much about what is really going on o We’ve learned that tracking time on tasks gives you the best information. It can empower client meetings or future bids that are similar to the current project you are working on

* Even the most diligent people at tracking time need to reminded about it

* Tracking unbillable time in addition to billable time gets people in the habit of tracking time and can give you all kinds of valuable information about internal projects

It is must that Industries/Companies of all sizes need to ensure that their workers keep track of their time worked, especially if they are working on lots projects. This type of time management is essential to keep track of what employees are working on as well as for keeping a record of the billing process to outside employees. Employers use a time management system so that they can keep track of the time and attendance of their employees. There are several different types of software on the market that can log employee time with “online timesheet” tools that will keep track of the time that employees work.

If an employee is working on several projects at once the company will want to use time tracking software so that there is a record of time spent on each job. Software is available, such as a time recorder, that allows the employee to start tracking when they begin working on a project, and when they cease the work to move on to a new project. This type of software is great for the time management that is needed when it comes to billing clients and keeping them up to date with the progress of their project.

Time management is important for the successful running of any company, no matter what the size. With so many software tools on the market today there is no reason why any company shouldn’t be taking advantage of these types of functional methods of tracking time and employees. Most companies that have computer usage in their offices will want to keep track of the comings and goings of their employees and monitor what they are doing on the computer when working on client projects. Time and attendance is a big issue for large companies that lose time when employees have a lax attitude toward the time they spend at the job. There is software on the market that will let the employer know exactly what time the employee logs in, how much time he spends on each project, and what time he logs off to go home. This information is critical in the running of any large company.

Labor Time Tracker is a smarter, easier and faster way to track employee time for payroll and job costing. Our web time clock system is totally optimized for the web (unlike typical client/server technology). As a result, our system is fast and very easy to use. Labor Time Tracker is an internet-based employee productivity application that represents essential and evolutionary technology that dramatically improves the way organizations manage their workforce.  It has been focused on internet-base Time & Attendance, Timesheets, HR Benefits, Expenses, Payroll, Self services and other Human Resource application.

Time tracking software is software that allows you to accurately measure the time spent on a particular task or project. There are various types of tracking software depending on the needs that you are looking for. A simple use is to utilize it as a planner. It allows you to record and monitor your schedules and set reminders for your daily activities. A common use of time tracking software in the business world is used to monitor the attendance of your employees in the company. There are those that are simply used to record timesheets and generate reports. There is also a different variation that can integrate with your accounting system and generates your account summaries. Contractors or professionals such as doctors or lawyers may use time tracking software to record the time spent with a client and automatically calculate the fee and generate the invoice for billing. Another use is to integrate it with project management software to calculate the efficiency and keep track of the progress of the project.

Just like every other acquisition, there are considerations you would need to make before purchasing your time tracking software. You need to make sure is that the software you find has the functions that you need. With the various types of time tracing software, it is best to make sure that you purchase the software that is right for you. With the emergence of technology, a good consideration is to find software that allows you to synchronize your data with a mobile device like a Personal Digital Assistant (PDA) or a notebook. Along with the ability to transfer data, you have to make sure that the synchronized data is accurate, encrypted and secure. After taking these into consideration, one of the most important aspects is the affordability. A product can be the best in the world, but if it does not fit into your budget, then it is useless for you.

Brand-New Help System

No comments

We have a brand-new help system in Labor time tracker recently.  This is something we have been planning for a long time: a better help system for you to find your answer easier and faster way to understand web based timecard.

Some design decisions we made when building the new help system:

* We list out all questions on one page (versus having to click into each section to ‘read more’).  You can quickly scan the page, or do a page search for certain phrases.
* Each pair of question and answer lives on a page with other Q&As (versus each question getting its own page).  If you do not find your answer, you might be able to find it in a neighbor, related question.  Or you might scan the page and see a question that might interest you and learn something new about Harvest.
* There is also a search box for you to look up certain keywords or phrases.  Nothing fancy – just a quick search through all the questions and answers in our database.

You’ll also notice that there is a new contact form. It used to be that you can email Support directly, but sometimes our customers do not provide us with enough information, and there would be a couple of back-and-forth messages for us to gather enough data to diagnose the problem.  With the new contact form, the message will include some crucial data from your account, so when we receive the email we should have enough info to quickly diagnose the problem – which means faster response to your questions.

One of the primary areas we focus on with LaborTimeTracker is to make it quick and easy for you to enter and complete your online timesheets and expense sheets.

Some of the easiest methods for you to make this process faster reside on the “My Preferences” page and include:

* Default task
* Minimum entries to display per day
* Default expense type
* Default payment type

Correctly setting these values can quickly reduce the number of clicks required to fill in each time or expense entry. Additionally, for people who do the same type of work from day-to-day, our QuickDay and QuickWeek options can quickly fill in your timesheet for you.

It’s typically overlooked during a hectic workweek how many times we repeat the same mouse-and-click actions. If we can simplify these activities for you, it can help you quickly fill in your time and expense sheets. These features and several new ones we’re currently developing (stay tuned…) hopefully will make your day a bit easier.
